Terms of use
Last updated 15 October 2026
These terms apply to everyone who uses the Content Portal, whether you are a speaker, someone helping a speaker, an event organiser or crew.
The portal is provided by AEGFX LTD, company number 11785167, of 24 Hurst Hill Cottages, Bramley, Surrey GU5 0JG (“we”, “us”). By using it you agree to these terms. If you don’t agree, please don’t use it and talk to your event organiser about another way to send your files.
Our clients
The portal is usually provided to an agency, production company or event organiser under a separate agreement with us. Where that agreement says something different from these terms, the agreement wins for that client and their staff. Nothing on the portal is sold to the public, so there are no online purchases, prices or cancellation rights to set out here.
Your access
- Speaker links are personal. Treat yours like a key and don’t forward it. Anyone with the link can see and upload to your space
- If you think someone else has your link, tell the organiser. They can reset it, which stops the old one working
- Organisers and crew must keep their sign-in details to themselves and only use the access their role needs
- Don’t try to reach events, sessions, files or details you haven’t been given access to
What you can upload
Upload anything that belongs to your session, such as presentations, videos, pictures, audio, fonts and scripts. You must only upload material you have the right to share for the event. That includes music, video clips, pictures and fonts made by other people.
Don’t upload anything that is unlawful, defamatory or infringes someone else’s rights, anything containing malicious code or personal data about other people that the event doesn’t need. Programs and installers are refused automatically and files with macros are held until a technician checks them.
We or the organiser may remove or hold back a file that breaks these rules or could harm the event, the crew’s equipment or other users.
Fonts
When you upload a font you confirm that its licence allows it to be installed on the event’s show computers for your presentation. Fonts are only used for the event and are removed with the rest of the event’s files.
Your content stays yours
You keep all rights in what you upload. You give AEGFX LTD, the event organiser and the event’s production team permission to store, copy, check, convert, display, play and project it for the event. That includes making corrected copies, for example replacing a missing font or re-encoding a video so it plays smoothly, and making show copies for the rooms. This permission ends when the files are deleted under the event’s retention period, apart from anything the organiser is entitled to keep under their own agreement with you.
We won’t use your content for anything else, show it to anyone outside the event or use it to train software.
Checks are a guide
The automatic checks look for common problems such as missing fonts, low resolution pictures and videos that may not play well. They catch a lot but not everything, and a green result doesn’t guarantee a file will look perfect on the day. The technical team has the final say on what goes on screen.
Keep your own copy
We work hard to keep the portal running and your files safe, but no online service can promise to be available at every moment. Always keep your own copy of anything you upload, and bring a copy on a memory stick to the event if you can.
Changes and suspension
We may improve or change the portal, and we may suspend access for maintenance or to deal with a security problem. We may suspend or end someone’s access if they break these terms. Where we can, we will warn the organiser first.
Our responsibility to you
Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud or for anything else that cannot be limited by law.
If you use the portal as part of your work, we are not liable for indirect or consequential loss, or for loss of profit, business, revenue or goodwill. Our total liability to you in connection with your use of the portal is limited to £100. Our liability to our clients is set by our agreement with them.
If you use the portal as a consumer, you have legal rights that these terms do not affect. We are responsible for loss you suffer that is a foreseeable result of us breaking these terms or failing to use reasonable care and skill.
Changes to these terms
We may update these terms. The date at the top shows when they last changed. The version on this page when you use the portal is the one that applies.
Law and disputes
These terms are governed by the law of England and Wales and the courts of England and Wales can deal with any dispute. If you are a consumer living in Scotland or Northern Ireland you can also bring proceedings in your local courts.
If something goes wrong, please tell us first at [email protected] so we can try to put it right.
